Document Translation and Apostille Terms and Conditions

These Terms and Conditions ("Agreement") outline the rights and obligations governing the purchase and use of services offered by Signing Rock, LLC. By submitting an order, you ("Client" or "you") agree to be legally bound by the provisions set forth below.

1. Scope of Services

1.1. Signing Rock, LLC maintains strategic collaborative relationships with a curated network of qualified professional translators and accredited translation firms.
1.2. The translation services we provide are intended for official documentation requiring certification for domestic and international governmental use, including but not limited to immigration, legal, academic, and commercial applications.
1.3. All translation work is carried out by native-language professionals and is subject to compliance review under ISO 9001:2018 quality standards.

2. Turnaround Time and Scheduling

2.1. Same-day translation services are not available through our platform.

2.2. All orders must be scheduled in accordance with our publicly available turnaround timelines, which are subject to change based on project volume, complexity, and language pair.

2.3. Clients who attempt to arrange services ahead of our stated turnaround windows forfeit any claim to a refund or cancellation on the basis of delay.

2.4. All projected delivery dates are estimates only and do not constitute a guarantee, though we make every reasonable effort to deliver within the stated timeframe.

2.5. Turnaround time begins upon receipt of full payment. We will not initiate any work based solely on verbal or email correspondence, as neither constitutes formal confirmation of a project.

3. Translation Certification

3.1. All certified translations are accompanied by a Certificate of Translation printed on official translation department letterhead.
3.2. The Certificate affirms the following:

  • The translation is a complete and faithful representation of the source document.

  • The translator is proficient in both the origin and destination languages.

  • The translation was completed in compliance with ISO 9001:2018 standards, verified through annual independent audits.

  • The declaration is made under penalty of perjury.

3.3. Certifications are issued electronically and do not include a physical (wet) signature unless specifically requested and confirmed in writing prior to the start of processing.
3.4. All certifications are notarized by a Florida-commissioned Notary affiliated with Signing Rock, LLC. Notarization is included at no additional cost — the $50 certification fee is allocated between the Translator and Notary.

4. Modifications and Client Requests
 
4.1. We may accommodate minor corrections to names, addresses, or formatting when accompanied by supporting documentation.
4.2. Clients may not issue instructions to translators regarding the specific rendering or phrasing of translations. Our translators are professionally and ethically obligated to produce accurate, independent interpretations of the original text.
4.3. Any attempt to direct or override translator judgment may result in immediate service termination without eligibility for a refund.

5. Document Submission & Delivery
 
5.1. It is the Client's responsibility to provide legible, complete documents at the time of order submission.
5.2. Completed translations and associated certifications are transmitted electronically via email or secure file download.
5.3. Physical copies of certified documents may be arranged upon written request and may be subject to additional fees.

6. Shipping, Handling & Delivery Disclaimer

6.1. When physical documents are dispatched at the Client's request, Signing Rock, LLC serves solely as a coordination facilitator and assumes no responsibility for loss, damage, delay, theft, or mis-delivery once documents are handed off to a third-party carrier, postal service, courier, or delivery provider.
6.2. All shipping and delivery operations are performed by independent third-party providers. Any claims related to lost, damaged, delayed, or improperly handled documents must be filed directly with the designated carrier. Clients bear full responsibility for selecting their preferred shipping method, including options such as package tracking, signature confirmation, delivery speed, and insurance coverage.
6.3. Address Verification Requirement
Clients are required to confirm the accuracy of their shipping address before any shipment is released. Once an address has been verified and a shipment has been dispatched, Signing Rock, LLC bears no responsibility for delays, mis-delivery, or non-delivery resulting from inaccurate, incomplete, or incorrectly submitted address information.
6.4. Limitation of Liability
Signing Rock, LLC shall not be held liable for any damages occurring during transit, including but not limited to:

  • Physical harm or deterioration of documents

  • Loss or destruction of documents in transit

  • Delays that impact filing, submission, or legal deadlines

  • Consequential, incidental, or indirect losses resulting from shipping or delivery failures

6.5. Tracking and shipment confirmation details will be furnished when available. Once documents have left our custody or that of our contracted vendors, all risk of loss passes to the Client.
6.6. To the fullest extent permitted under applicable law, any liability, if determined, shall be capped at the amount paid for the specific service rendered and shall not extend to claims arising from shipping-related matters or third-party carrier conduct.

7. Refunds and Cancellations

7.1. Given the customized nature of language services, all transactions are considered final once translation work has commenced.
7.2. A full refund may be issued only if a written cancellation request is received before any translation work has begun.
7.3. Orders placed outside our stated turnaround policy — i.e., requesting completion sooner than our published timelines allow — are not eligible for refunds.

8. Payment Policy for Notary Contractors (Independent Contractors Only)

8.1. Payment Remittance
Compensation to notaries is subject to receipt of funds from the engaging parties. Signing Rock, LLC will issue payment to notaries within approximately 30 to 90 calendar days following service completion. Disbursements follow a bi-monthly payment schedule and are released after funds are collected. If payment from the hiring party has not been received within 90 days, Signing Rock, LLC may, at its sole discretion, release payment to the notary. Payments are processed electronically through Zelle, Venmo, or CashApp, with email notification upon processing. All payment-related inquiries should be directed to saskia.notarypublic@gmail.com.
8.2. Credential Requirements
To be eligible for payment, notaries must maintain valid and current credentials, including:

  • A completed and signed W-9 for the relevant tax year

  • Active Errors and Omissions (E&O) Insurance

  • A current Background Screening where required

These documents must be uploaded to the notary's profile. If required credentials are missing or expired, payment will be withheld until the profile is updated. Signing Rock, LLC may issue one courtesy reminder; no additional notices are guaranteed. Failure to update credentials within a reasonable period may result in forfeiture of the pending payment.
8.3. Cancellation Fees
No compensation will be issued if an assignment is canceled more than four (4) hours before the scheduled appointment. Advance payments to notaries are not offered under any circumstances.
8.4. Payment Reductions
Signing Rock, LLC reserves the right to reduce or withhold payment when a notary fails to meet assignment requirements, including but not limited to:

  • Missed shipping or delivery deadlines

  • Failure to complete required document scanbacks

  • Returned documents containing errors

  • Insufficient scan quality

  • File closure failure attributable to the notary

8.5. Notary Responsibilities
Notaries are solely responsible for confirming their ability to fulfill all assignment requirements before accepting any job. Failure to meet overnight shipping deadlines may result in full forfeiture of the assignment fee. Any additional shipping or courier costs incurred as a result of notary-related issues may be deducted from the notary's compensation.
8.6. Trip and Print Fees for Canceled Signings
For canceled signing appointments, fees may be issued as follows:

  • Buyer or refinance transactions: up to $50.00 for print and trip, or $25.00 for print only

  • Seller or cash transactions: up to $30.00 for print and trip, or $15.00 for print only

8.7. Remote Online Notarization (RON) Payment Eligibility
RON assignments will be compensated only if the signing is successfully completed, or if the signer declines to sign after identity verification has been completed. Signings that do not pass identity verification — including KBA or biometric failures — are not eligible for payment.
8.8. Payment Claim Deadline
Any payment not claimed within one (1) year from the date of the assignment will be permanently forfeited. It is each notary's responsibility to monitor payment notifications, maintain accurate records, and keep credentials current.
8.9. Payment Deposit Deadline
Payments must be deposited within ninety (90) days of issuance. After this period, the payment will be voided, and a $25.00 reissuance fee will be applied to any reprocessed payment.
8.10. Third-Party Dependency
Signing Rock, LLC functions as a third-party intermediary and is dependent on receiving compensation from hiring entities such as title companies, escrow firms, lenders, attorneys, or other clients. In the event that a hiring party fails to remit payment, ceases operations, or enters bankruptcy proceedings, Signing Rock, LLC shall bear no responsibility for resulting non-payment to the notary.
8.11. Acceptance of Payment Policy
By accepting any assignment through Signing Rock, LLC, the notary acknowledges that compensation is contingent upon receipt of funds from third parties and confirms that they have read, understood, and agreed to this Payment Policy in its entirety.

9. Apostille Services

9.1. Apostille services are offered on a case-by-case basis and are priced individually. Each Apostille is unique and dependent on the destination country and applicable jurisdictional requirements.
9.2. Clients acknowledge that Apostille processing times and acceptance vary by state and country. We cannot guarantee acceptance for foreign use in jurisdictions known to decline electronically certified documents.

10. Remote Online Notarization Services

10.1. With respect to Remote Online Notarization (RON) services, Signing Rock, LLC operates exclusively as a third-party facilitator and coordination service if needed.
10.2. Signing Rock, LLC connects clients with a duly commissioned and authorized Remote Online Notary Public who performs the notarization and, where required or requested, arranges for qualified remote witnesses, language interpreters or translators, document management, and delivery services.
10.3. All fees collected by Signing Rock, LLC encompass facilitation, administrative oversight, technology charges, scheduling, coordination, and delivery-related services, which may include but are not limited to:
•    Securing a Remote Online Notary Public
•    Management and oversight of the notarization process
•    Coordination of required or requested remote witnesses
•    Access to qualified language interpreters or translators
•    Printing, packaging, courier, shipping, tracking, and document delivery services
These fees are independent of and do not represent statutory notarial fees.
10.4. The Remote Online Notary Public, witnesses, translators/interpreters, printers, couriers, and delivery vendors involved in any transaction are independent third-party professionals or contractors. Compensation paid to these parties is subject to separate agreements with Signing Rock, LLC and is not governed by state notarial fee statutes, which apply only to fees charged directly by a notary to a principal.
10.5. Signing Rock, LLC and all associated trade names do not serve as the notary public, do not directly provide witness, translation, or carrier services, do not govern any notary's commission, and do not offer legal advice.

11. Limitation of Liability

11.1. Signing Rock, LLC, its trade names, and its partners shall not be responsible for:
•    Errors stemming from illegible, inaccurate, or incomplete source documents provided by the Client
•    Rejections by third parties beyond our control, including foreign governments, embassies, educational institutions, or courts
•    Consequential or incidental losses, including financial damages or processing delays unrelated to our services
11.2. Our total liability in any matter shall not exceed the full amount paid by the Client for the specific service in question.

12. Dispute Resolution
 

12.1. In the event of a service concern, you agree to allow us a minimum of fifteen (15) calendar days to investigate and address the matter before initiating chargebacks, pursuing legal remedies, or making public complaints.

12.2. Disputes that cannot be resolved through direct communication may be submitted to mediation in Brevard County, Florida, before proceeding to arbitration or litigation.

13. Indemnification
 

You agree to defend, indemnify, and hold harmless Signing Rock, LLC and its affiliated entities from any claims, damages, liabilities, or expenses arising from your misuse of our services or any violation of this Agreement.

14. Governing Law

This Agreement shall be interpreted and enforced in accordance with the laws of the State of Florida, without regard to any conflict of law provisions.

16. Updates and Modifications
 

We retain the right to revise or amend these Terms at any time without prior notice. The most current version will be posted on our website at all times. Continued use of our services following any modification constitutes your acceptance of the revised Terms.

By purchasing services through Signing Rock, LLC, you confirm that you have read, understood, and agreed to these Terms and Conditions in full.
